Send and Manage Notifications from the Mobile App
View an order's scheduled and sent messages, resend one, send them all, turn automated notifications off for one order, and compose your own.
Before you start
Scheduler only- Inspectors have read-only access here — they can see messages and their status, but the send, resend, compose, and toggle actions are hidden.
- This guide covers the mobile app's Automations sheet on an order. The underlying automations themselves — what triggers a message and when — are configured on the dashboard; see Setting Up Automations.
- Sending, resending, sending all, and composing all need a connection — they're disabled while Work offline is on or you have no signal.
Open an Order's Automations
Open the Order and tap its Automations card. The card's own subtitle already shows a quick count, like "2 scheduled · 1 sent," and a N failed badge appears if any message bounced or errored.
The sheet lists messages in two groups, Scheduled and Sent. Tap any message to open its detail: status, subject, recipient, the scheduled or sent time, the message content, and — for a failed one — the error.
Some messages have no send time. They show a Not scheduled caption instead of a time, in the list and in their detail, and wait until someone sends them manually. The caption says why:
- Not scheduled: automated notifications are off for this Order. The switch below was off when the message was created.
- Not scheduled: automated notifications are off for this account. The Order has no setting of its own, and Enable automations is off in your Preferences.
- Not scheduled: sends only when you tap Send Now. Nothing is blocking it now, but it was created without a send time.
Resend or Send a Message Now
Open the message's detail (above).
Tap Send Now for a scheduled or waiting message, or Resend for one that already went out.
Send Every Scheduled Message
In the Automations sheet, tap Send All.
Confirm in the dialog that follows. The sheet shows its progress while it works through the list, then updates each message to Sent.
Turn Automated Notifications Off for One Order
The Automations sheet has its own Automated notifications switch, separate from the automations themselves.
Open the Order's Automations sheet.
Toggle Automated notifications off. Confirmations, reminders, and other automations stop sending for this order only — every other order keeps sending normally. A message that would have gone out still gets created, but it shows Not scheduled until you tap Send Now yourself (or use Send All).
Turn the switch back on to let this order send automatically again. This doesn't schedule messages already waiting in the list, so send those with Send Now.
Compose a Message
In the Automations sheet, tap Compose. The New Message screen opens.
Choose Email or SMS, and fill in the recipient (an email address or a phone number, matching your choice), a Subject (email only), and your Message.
If your message still contains a merge tag like *|CLIENT_NAME|*, a "Preview with sample values:" block shows underneath it so you can see roughly what the client will receive. Send when you're ready.
Quick Sends: Agreement and Report Links
Two shortcuts open the same Compose screen prefilled, so you don't have to write the message yourself:
- Send agreement link — on the order's detail screen, near the agreement status.
- Send report link — in the order's ⋯ menu.
Both prefill the subject and message from your active email automation template that contains the matching link tag (*|AGREEMENT_LINK|* or the report link tag) — the same template an automation would use. If you don't have one, they fall back to built-in default wording. Either way, you can edit anything before sending.
What You Should See
A sent or resent message moves to the Sent group with a Sent (or Delivered / Read) status; a failed one shows Bounced, Send Error, or No Consent and stays visible with its error in the detail view. The order's Automations card subtitle and N failed badge update to match.
If Something Goes Wrong
- Send Now, Resend, Send All, and Compose are all greyed out. You're offline, or a send is already in progress. Reconnect and try again.
- I don't see Send Now, Resend, Compose, or the Automated notifications switch. Your role doesn't have write access to orders — Inspectors can view automations but not send or change them. Ask a teammate with scheduling access or higher.
- A message shows "Not scheduled" and never went out. Automated notifications were off for this order or for your account when it was created. Send it yourself with Send Now or Send All. Turning automations back on doesn't schedule messages already waiting.
- After Send Now or Resend, you see "it will go out automatically shortly." The message is saved, but the app couldn't trigger the immediate send. It goes out automatically on the next send cycle. Don't send it again, or the recipient may get it twice.
